Web-based employee timesheets – Yet another reason to use them

I recent read a news article about a gentleman who was arrested for turning in bogus timesheets for which he was paid thousands of dollars that he was not owed. He forged not one but two supervisors signatures on a hard copy timesheet and submitted them the staffing agency who had assigned him to his job. It’s yet another compelling reason why staffing companies are moving to web-based employee timesheets. With Clocktower only those who have the permission to approve time on a project, are able to approve employee time. So it makes if very difficult for someone to forge a timesheet.

Not only are web-based timesheets easier, more accurate and convenient. It’s also much more secure.

A Temporary Fix?

Time is moneyThere are over 2.6 million people per dayemployed by staffing companies.  These people work in every imaginable industry and in every conceivable position.  There are temporary and contract workers at this very moment creating websites, working in hospitals and providing guidance on complex financial problems.  With such variation in skill set and industry, it is little surprise that each staffing company is different, with a different specialty and a different set of core values.  But one constant in the staffing and recruiting industry is the need to keep track of time.

From staffing giants like Robert Half, Accountemps, Adecco and Kelly Services to the locally owned temporary agency in your town, the need to track time for their employees on assignment is constant.  How else would the staffing company pay its employees accurately and on time?  The real challenge is this: How do they keep track of employees that are working in multiple locations at various client sites?

Why simple matters for staffing company timesheets

Staffing companies have a unique situation when it comes to hiring.  They hire lots and lots of people, and 99% of the productive output of these hires is for a third party.  That’s because the workers they are hiring are contractors and temps.  In a recruiting environment where speed matters, which will become more and more critical according to Danny Cahill in his Gruntled video (great video by the way), staffing agencies and recruiters need to maintain high quality with ease and precision while meeting the speed expected from their clients.

In a corporate or internal recruiting environment, a new internal hire may receive a day or even an entire week dedicated to on boarding.  This period typically involves teaching the new hire how to submit their time, when to submit it, and how very very VERY critical it is that they get their timesheet in ON TIME!

Staffing agencies know that for each new hire there is already a plethora of onboarding steps, but they don’t have the luxury of spending a day, or in some cases even an hour orienting the new person.  As the regulatory environment becomes more broad and far reaching, certain compliance steps will take more time and require more attention.  This means there will be greater time spent  on boarding.  At the same time, technology is changing by the minute and helping recruiting agencies stay nimble.

As we look for ways to reduce the time to start, or time to hire, using technology to save time is a great move.  Trying to explain a complicated time entry and approval process to a new employee that won’t even be working in your dungeon…eh hem, office…just won’t cut it.

Price per user?

Price is usually a pretty straight forward concept.  We know the prices of a lot of things.  The price of a candy bar, the price of a car, the price of a song download.  We have the ability to compare those things because we are familiar with them.  We even have a way to predict what a price is based on experience.  Candy bars and cars are familiar items.  We know how much a song is worth to us, and we even have a way to compare those prices to see if they are fair.  But modern technology has blurred the pricing lines somewhat.

Now we are learning to understand things like prices for data downloads, prices for apps, prices for licenses.  These new things can sometimes create complications because the things being purchased aren’t all that familiar to us.  Take the pricing for Basecamp, a popular web based project management tool, as an example.  If you visit their pricing page you will see that their prices are primarily based on the number of projects you need.  Well, what if you have no idea?  What is a project worth?  What do I get from a project?  They do a wonderful job of explaining what a project is, but the point is this is a new unit, and an unfamiliar one.

This same situation arises for staffing agencies when they price online timesheet applications.  Everything is priced per user.  But what is a user?  Does that refer to the internal staff, or is it everyone that tracks time?  If my client has access to approve timesheets is she a user?  How many users do I have anyway?

Staffing companies by nature put a lot of new people to work every week.  If over the course of a month you averaged about 100 employees, it doesn’t necessarily mean you had 100 employees.  The first week perhaps 10 people were hired by the client, and the next week 20 new people were put to work.  Now how many users or employees is that?  The point is it is hard to track, difficult to predict and it is not a metric staffing companies are used to.  I know you don’t send reports to your recruiters telling them how many users they need to have.
